The first question an organiser asks is "how much". It is also the simplest one. The next — "and where do I put it" — is the one that costs money when it has been left too late.
The baseline figure
Event-industry guidance settles on a wide range: 0.5 to 1 kg of ice per person per day for serving drinks, on top of which comes the cooling ice for bottles, kegs and tubs. Outdoors and in real heat, add 25 to 50 % on top, purely to offset melting.

These are trade averages, not a rule. They exist to frame an order of magnitude, not to place an order.
A 500-person party, then
Take a concrete case: 500 people, one day, outdoors, around 25 °C, with a mixed service of beer, soft drinks and cocktails.
You land somewhere around 500 to 900 kg, depending on the heat and how long you serve. Call it 500 kg to stay on the cautious side.
Here is what that figure looks like once it is on the table:
- 100 bags of 5 kg, or 250 bags of 2 kg
- between 0.5 and 0.7 m³ once stacked, roughly the volume of a large wardrobe
- half a tonne to carry, bag by bag, from the truck to the service point
That is not a purchase. It is a load.
The real problem: melting
A block of ice does not vanish all at once, it melts continuously, and the rate depends on three things: the ambient temperature, the exposed surface, and the quality of the insulation.
A pallet of bags standing in the shade at 25 °C loses volume from the first hour. What melts does not come back: the water runs out, and the rest of the stock sits in it, which speeds the melting up further.
That is why stock delivered in the morning for an evening service is not stock. It is a scheduled loss.
What it takes to keep 500 kg cold
A 300-litre domestic chest freezer holds roughly 90 to 100 kg of stacked bags. For 500 kg you therefore need five or six, powered continuously, placed under cover, and brought down to temperature well in advance.
Five freezers also means five available sockets, a room or a protected area, and somebody keeping an eye on them so nothing gets unplugged during the day.
It can be done. But from that point, the question is no longer "where do I buy the ice" — it is "how do I hold the cold chain until the moment I need it".
And beyond that?
The threshold arrives quickly. At a tonne a day, freezers no longer keep up and you need a refrigerated trailer. At four tonnes, a trailer is no longer enough. At eight tonnes and above, it stops being storage and becomes flow: several containers, collection points spread across the ground, and rotations during the event.
This is not a budget question, it is a question of physics. The volume determines the setup, and the setup determines what has to be arranged well before the day itself.
What to take away
The tonnage takes a minute to work out. The refrigeration, the truck access, the location, the power and the handling are prepared in advance.
If you are estimating a requirement right now, start with the figure — but ask yourself the next question straight away: where will this ice be between the moment it arrives and the moment it gets served?
